Refunds and Returns of Financial Aid

How CAHE calculates tuition refunds when a student withdraws, the refund schedule for each program type, and the federal Return to Title IV (R2T4) requirements.

Refunds

After the first day of instruction, the student will be liable for the registration fee and any tuition liability as of their last day of physical attendance, defined as the last day in which the student participated in academically-related activity, including projects, clinical experience, or examinations.

The non-refundable application and registration fees, as well as items of extra expense to a student (e.g. uniform, clinical, and technology fees), will not be considered in tuition refund computations. Total tuition liability is limited to the quarter/term during which the student withdraws or is terminated, as well as any previous quarters/terms completed.

Refunds are calculated based on the total term's/quarter's tuition due, not the total tuition paid by the student up to that point. CAHE will not release any transcripts or academic records until any outstanding financial obligation is met.

Credit balances

All student accounts that show a credit balance will be reviewed by the Director of Financial Services, who functions in a bursarial or business officer capacity and does not participate in the processing of financial aid. All credit balances caused by an excess of Federal funds (i.e. Pell, FSEOG, Ford Direct Loans, and PLUS Loans) will be issued within ten business days of the last posting causing the credit balance.

U.S. Department of Education Return to Title IV (R2T4) regulations

Federal regulations specify how CAHE must determine the amount of Title IV program assistance (Pell, FSEOG, and Ford Direct Loans) that students earn if they withdraw. All funds must be returned within 45 days of the last date of attendance.

When a student withdraws during a payment period, the amount of Title IV assistance earned is determined by a specific formula. The date of withdrawal is the earlier of the date the student notified the Program Director in writing of their intent to withdraw or the date the student submitted the withdrawal form.

How earned assistance is calculated

The amount of assistance earned is determined on a pro-rated basis. The payment period is the term/quarter for which the loan was certified, and the percent of attendance is calculated by dividing the number of days attended by the total number of days in the payment period. For example, a student who completes 30% of the period has earned 30% of the assistance scheduled. Once a student completes more than 60% of the payment period, all scheduled assistance is considered earned.

Order of return

Title IV funds will be returned in the following order:

  1. Unsubsidized Ford Direct Loans
  2. Subsidized Ford Direct Loans
  3. Federal PLUS Loans
  4. Pell Grants
  5. Federal SEOG
